To support this mission, we are seeking an Accounting Operations Analyst to support accurate and timely accounting operations across a range of tender and payment streams, including credit card and PayPal settlements, gift card programs, web sales, and digital sales and fee activity. This role is responsible for daily and month-end reconciliations, variance research and resolution, journal entry preparation, account analysis, and routine reporting to ensure accurate financial recording and operational visibility. The analyst will work within a shared-coverage model, cross-training across key responsibilities to strengthen team flexibility, maintain continuity of operations, and reduce key-person dependency.

How You'll Make an Impact

  • Reconcile daily payment activity to ensure credit card and PayPal settlements are complete, timely, and accurately reflected in internal systems; research and resolve differences between recorded activity and bank or third-party settlement records.
  • Perform bank-to-book and related reconciliations; investigate variances, correct errors, and document resolution in accordance with established controls.
  • Prepare month-end journal entries for payment activity not automatically interfaced and prepare supporting schedules, account reconciliations, and analyses; escalate unresolved variances and unusual items to the Supervisor.
  • Support merchant and store onboarding activities as assigned, including merchant ID (MID) setup requests for new locations and accounts, and verify required setup across downstream systems to enable acceptance of credit card and PayPal payments.
  • Reconcile daily gift card activity between sales audit systems and gift card processors; complete weekly and monthly reconciliations and prepare related journal entries and billing support as required.
  • Verify daily web sales completeness and accuracy within the Sales Audit application and reconcile daily and monthly web sales activity between Sales Audit and order management systems; correct errors and document adjustments.
  • Create and validate weekly payment files and approvals as required; reconcile sales activity to VST invoices and general ledger postings, investigate and resolve variances, and prepare accruals and processing fee accruals as needed.
  • Prepare and distribute recurring reports and reconciliations for internal stakeholders and support ad hoc reporting requests as assigned.
  • Respond to store, field, and stakeholder questions related to payment processing, settlement discrepancies, gift cards, web sales, and digital billing; coordinate with internal partners to drive timely resolution.
  • Identify and escalate suspicious or exception-based activity (e.g., unusual gift card patterns) to Loss Prevention and Risk partners; support documentation and evidence requirements for audit and control testing.
  • Participate in testing and implementation support for process and system enhancements; contribute to procedure updates and process documentation to improve accuracy, efficiency, and standardization.
  • Additional responsibilities as required.

What You'll Need to Succeed

  • Bachelor's degree preferred; Accounting, Finance, or related field preferred.
  • 2-3 years of experience in accounting operations, reconciliations, payment processing, or a related field preferred.
  • Advanced Microsoft Excel skills with strong attention to detail and the ability to manage multiple priorities and deadlines.
  • Strong written and verbal communication skills with a customer-service mindset when supporting stores, field teams, and internal business partners.
  • Experience with financial and operational systems preferred (e.g., PeopleSoft, Sales Audit applications, Helix OMS, and gift card or digital partner platforms).

Please Note: This is a hybrid role requiring in-office attendance three (3) days per week at our Florham Park, NJ headquarters.  Applicants must be within a commutable distance, as relocation assistance will not be provided.

The hiring range for this position is $23-25 per hour. This range represents the base salary only, in good faith at the time of posting. Actual compensation will be determined based on factors such as relevant experience, skills, and qualifications.
